3. TRUSTEE VOTE on I.O.U.s.
On 2 previous occasions since the new committee stood, H.S.A. representatives have had uniform and redundant stock sales (calendars, tea towels, Christmas puddings). The main objective for these sales was to reduce the stock starting to overflow in the spare classroom. Mrs Wheatley wished to use the space for displays for the 150th celebration, stock had to be removed within a 2-4 week time period, options were for it to be stored at a trustees home. To aid ‘getting rid of stock’ an I.O.U system was put in place to avoid loosing a sales opportunity from parents without cash on them on the night of the sale. One officer disagreed with this action and rightly pointed out that the minutes didn’t clearly state a trustee vote of approval / disapproval. There was concern that using I.O.U.s meant that the H.S.A. assets were being used as a means of offering credit and an element of risk was involved as to whether the funds would be lost.

VOTE:
- to agree that I.O.U.s can be offered to parents of school children on stock that the H.S.A is keen to release from their assets. i.e. dated stock that will become redundant if kept, excessive stock that is causing storage issues.

- To disagree with I.O.Us being granted in any cases.

4. SECOND HAND UNIFORM
It has been suggested that the H.S.A. might like to support volunteers collecting money from second hand uniform sales. Trustees to vote to accept fund from second hand uniform sales.

o RAISING MONEY FOR THE OUTDOOR CLASSROOM – IDEAS?

• DECORATED/PERSONALISED HANGING MOMENTOS? Sponsors pay £2.50 to decorate a card insert which is sealed into a plastic key fob. This kay fob is then hung with small cup rings into the roof joists of the gazebo. (Key-fobs =20p each. Profit £2.30)
• PYROGRAPH/PAINT BENCHES – sponsors pay £3 to burn/paint a wildlife design (what are we likely to see on the school field?) into the bench, signing their artwork. Are we able to purchase the benches before the main gazebo?

o USEFUL PURCHASES FOR H.S.A. & school?

• H.S.A. could use for ice cream / frozen fruit sales at events.
• School could use to extend cookery options.

o PAGEANT – 24/4/08
• Mrs W suggested the H.S.A. serve tea and coffee at this event. We need to confirm that facilities to make hot drinks are available. It seems a good opportunity to have a stand and promote our big project – THE OUTDOOR CLASSROOM. MS is producing posters and display boards with buckets for direct giving. Should we have GIFT AID envelopes?

• MAIN H.S.A. stand with buckets and display boards. We could also introduce sale of:
• personalised name pens with school crest (cost 70p, sell at £2) min order = 10!!
• I’m a “school team” winner ’08 badges (costs less than 50p, sell £1) min order = 10!! Print out all three winning options, cut and then make up badges as purchased (would take a few seconds at the table, about 2hrs prep time)
• New enamelled school crest badges, 3 background colours to correspond with teams.
• TOMBOLA – with sports theme (see pg 144 of Spring08 Baker Ross catalogue). 50p a ticket and 3 for a £1.
• LOLLY STAND (see pg 159 of BR cat). Pay 50p. Pick a lolly out of the sand pit. Some sticks are blank – you win the lolly. Some sticks are yellow and you get another go! Some sticks are red – you win a prize (see prize ideas)
• FACE PAINTING
• PAINT A CUP – buy mugs from IKEA (about 50p each), buy ceramic felt tips (fixed on impact – not oven fix). £3 a go. Return unused mags. Could use ceramic paints for glass candle holders at Christmas Bazaar.
• CHUCK A CHICKEN – via a friend of Mandy’s. Using the devise, propel the chicken across the playground. If it lands in the pool you get a prize. 50p for 3 go. 1 hit lolly, 2 hits icecream. 3 hits bouncy castle.
• HIT THE HAMMER AND MAKE IT RING – 50p for 3 goes - make it ring to go on the bouncy castle.
• NETBALL SHOOT OUT – 50p for 3 balls. 1 ball get a lolly, 2 balls an icecream ticket, 3 a go on the bouncy castle.

1. Welcome and introduction of new committee

NEW FORMAT OF AGENDA FOR MEETINGS – given out about 2 weeks prior to meeting, to send out, read and then spend time agreeing actions at meeting.

Our committee objectives – do we have any, to find? (note to committee to action in next few weeks)

2. Ongoing / continuing projects –
o Like to make more of the H.S.A. STAND by featuring the ‘plans’ for future projects with collection buckets so people can just throw money in, rather than having to participate in activities to ‘give’.
o Like to make opportunities to sponsor projects (company charitable giving) a lot easier, maybe canvas companies for specific projects

ACTION – SOMEONE TO TAKE RESPONSIBILITY TO WRITE ABOUT 200 WORDS ABOUT EACH PROJECT AND HOW IT WILL BENEFIT THE PUPILS AT SCHOOL. FINAL COST & TARGET DEADLINE. (this will be used on the H.S.A. stand to help fund raise through buckets).
